Virtual assemblies

Virtual assemblies with quorum and votes by ownership share.

Call, hold and document the assembly on one platform: video, attendance registered per unit, live quorum, weighted voting, chat, notes and recording.

What it includes

  • Built-in video calls, with no dependence on Zoom or external links.
  • Attendance recorded per unit, including proxy representation.
  • Quorum calculated live by ownership share, not by headcount.
  • Resolutions voted for, against or abstain, with results weighted by ownership share.
  • Only owners vote; residents can attend without a vote.
  • Meeting chat and shared notes kept by the secretary.
  • Session recording stored securely.
  • Full record at close: attendance, resolutions and votes, notes and chat.

Assemblies, every year’s headache

Reaching quorum, registering who represents each unit, counting votes weighted by ownership share and then drafting minutes nobody can challenge. With a generic video call, management ends up doing all of that in a separate spreadsheet, with screenshots as backup. CondoCMS brings the meeting and its record together in one place.

How it works

Notice and virtual room

Management schedules the meeting with its date, type and required quorum. At the set time it opens the virtual room, and owners join from the portal on a computer or phone, with nothing to install.

Attendance and live quorum

On joining, each unit’s attendance is recorded with its ownership share, including proxy representation. Quorum is calculated live by ownership share, as is proper in a condominium, and everyone sees whether it was reached.

Voting weighted by ownership share

Management presents each resolution and owners vote for, against or abstain. The result is calculated by adding ownership shares, not counting hands, and is recorded resolution by resolution. Residents who aren’t owners can take part without a vote.

Chat, notes and recording

During the session there’s a chat for questions and shared notes kept by the secretary. If the condominium decides to, the session is recorded and the recording is stored securely.

Everything documented at close

When the meeting closes you get the full record: attendance with ownership shares, resolutions with their votes, notes and chat. It’s the basis for drafting the minutes without rebuilding anything from memory.

Our own video infrastructure

CondoCMS video runs on our own infrastructure, not on someone’s personal Zoom or Meet account. Management and the board can share their screen; owners join with camera and microphone.

For board meetings too

The same module handles board sessions: resolutions, votes, notes and record, kept separate from owners’ assemblies.

Frequently asked questions

Are virtual condominium assemblies valid in Costa Rica?

Validity depends on what Law 7933, the condominium bylaws and the way the assembly is called and documented allow. Our guide to virtual assemblies covers the most common requirements; if in doubt, consult a lawyer.

How is quorum calculated?

By ownership share. Each registered unit adds its coefficient and the system compares the total with the percentage required for the meeting, in real time.

Do all votes count the same?

No: each vote weighs according to the unit’s ownership share, as is proper in condominium property. Each resolution’s result shows the shares for, against and abstaining.

Do participants need to install an app?

No. The video call runs in the browser on a computer or phone.
