Bookings, the number one source of neighbor disputes
Two families showing up at the BBQ area on the same Saturday, a booking written in the gatehouse notebook that nobody saw, a delinquent neighbor using the event room while everyone else pays. Almost every common-area conflict comes from the same thing: there’s no single calendar and no rules applied equally to everyone.
How it works in CondoCMS
Each area with its own rules
Management configures each common area: name, capacity, fee, minimum notice, maximum booking length, how many bookings a unit can hold per month and whether it needs approval.
Residents book with real availability
From their portal, residents see which time slots are free and book. The system checks instantly:
- that it doesn’t overlap another booking,
- that it respects minimum notice and maximum duration,
- that the unit hasn’t exceeded its monthly cap,
- that the unit is up to date on its fees,
- and that it has no active suspension of booking rights.
If anything fails, the resident sees the reason right away.
Approval when needed
Simple areas confirm instantly. Those that require it, such as an event room, stay pending and management approves or rejects them with a reason.
Cashless fees
If the area has a fee, it’s charged straight to the unit’s account statement alongside the regular fees. If the booking is canceled, the charge is voided. No cash at the gatehouse and no lost receipts.
Integrated with the rest of the condominium
Bookings use the same data as fee billing and the violations process: delinquency and suspensions are applied automatically, with nobody checking lists. See fees, payments and delinquency and violations and fines.

Frequently asked questions
Can the condominium charge for bookings?
Yes, if the assembly approves it. In CondoCMS each area can have a fee that is charged to the unit’s account statement and voided if the booking is canceled.
How are delinquent owners prevented from booking?
When booking, the system checks the unit’s account. If it has overdue debt, or an active suspension for a violation, the booking is rejected with the reason.
Does every booking need approval?
No. Management decides per area: some confirm instantly and others stay pending until management approves or rejects them.
