The usual question: what is our fee spent on?
Financial mistrust is one of the main causes of delinquency and tense assemblies. It almost always shows up when owners don’t get clear, regular information. Building those reports by hand, from several spreadsheets, takes days and never quite adds up.
What the module does
Yearly budget by line item
Management records the yearly budget by income and expense line items (security, maintenance, common-area electricity, administration, reserve fund) and the system calculates the totals and the surplus or deficit. Once approved, it’s published so the board and owners can view it in their portal.
Automatic monthly accounting close
On the 1st of every month CondoCMS generates the previous month’s close with:
- amounts billed and actually collected,
- the period’s collection efficiency,
- the accumulated outstanding balance,
- the number of delinquent units,
- and water consumption and billing, if the module is enabled.
Notes and publishing
Management completes the close with the month’s expenses, extraordinary income and a written summary; the system calculates the balance and management publishes it. From then on the board and owners see it in their portal.
Transparency without exposing personal data
The published close shows aggregate condominium figures. Nobody sees their neighbor’s balance, and delinquency is reported without names, in line with Costa Rica’s data protection law (Law 8968).
Integrated with everything else
Reports are fed by the same data as fee billing and water billing, so the report’s numbers always match the account statements.

Frequently asked questions
Where do the monthly close figures come from?
From data already in CondoCMS: generated charges, confirmed payments, outstanding balances and, if applicable, billed water. Nothing has to be typed separately.
Do owners see other owners’ data?
No. The published close shows aggregate condominium figures, such as collection efficiency or the number of delinquent units, without names or personal data.
Can management add explanations?
Yes. Before publishing the close, management records the month’s expenses and extraordinary income and writes a summary for owners.
