Invoicing separately means doing the work twice
Many condominiums that must invoice electronically use an invoicing system on one side and their fee spreadsheet on the other. The result: every charge is typed twice, amounts don’t always match and month-end reconciliation takes days. CondoCMS builds invoicing into the same system where fees are managed.
What the module does
Documents in the current format
CondoCMS generates each document’s XML in Hacienda’s version 4.4: electronic invoice, electronic receipt (tiquete), credit note and debit note. The numeric key and sequence number are generated automatically per document type, so there are no gaps or duplicates.
Digital signature and ATV submission
Each document is signed with the condominium’s digital signature certificate (XAdES format) and sent to Hacienda’s ATV platform. The certificate, its PIN and the credentials are stored encrypted and never shown in the interface.
Automatic follow-up of the response
Hacienda doesn’t respond immediately: a submitted document isn’t accepted yet. CondoCMS checks the status every 5 minutes and records the result, so management always knows which documents are accepted, which are still pending and which were rejected.
Validation before sending
Before issuing, the system checks that the condominium has a certificate and legal ID configured. If something is missing, nothing is sent: piling up Hacienda rejections only makes corrections harder.
Ready to grow
CondoCMS invoicing is built around one provider per country. Today it works with Costa Rica’s Hacienda, and the rest of the system (fees, water, fines) doesn’t depend on country details, which lets us support management firms operating in more than one market.
Who has access
Only management, the treasurer and the auditor (read-only) see the module. Residents have no access to the condominium’s tax configuration.

Frequently asked questions
Must every condominium issue electronic invoices?
It depends on each condominium’s tax situation and the services it charges for. Our blog guide covers the most common cases, but the decision should be made with an accountant. CondoCMS offers the module for those who need it.
What do I need to start invoicing with CondoCMS?
The condominium’s legal ID registered as a taxpayer, the digital signature certificate (.p12) and its PIN, and the credentials for Hacienda’s ATV platform. The certificate and credentials are stored encrypted.
What happens if Hacienda rejects a document?
Hacienda responds asynchronously. CondoCMS checks the status every 5 minutes and records whether the document was accepted or rejected, with details, so it can be corrected with a credit or debit note as appropriate.
